Q
- How do I know you will save me money when I don’t even
know what it currently costs me to run the facilities?
A - Real estate assets and their
related operation and maintenance are a major investment for any
governmental entity. The first thing you need to know is what it
costs to run your facilities. The only way to make sound real estate
or business decisions is to know the answer to this question. We
will start our partnership by developing a proactive maintenance
plan for your assets based on your goals and objectives. From this
plan, we can build a detailed, line item budget for each facility.
This budget will be closely managed and provide one of several benchmarks
for our success through monthly variance reporting. Use of our Premier
Partner system will be implemented on all contracts and supplies.
Our experience has found that money is often wasted on unnecessary
or improper items or services. We will provide a detailed accounting
of what it costs to operate your facilities so, together, we can
make sound, rational business decisions about maintaining the value
of your asset.

- We have several locations that are spread out geographically.
How can you save us money and assure quality service at every location?
A - Large
organizations have a tendency to macro-manage their facility operations
– cost reviews are done monthly or longer, facility cost data
is not broken out and on-site facility inspections happen when a
problem occurs. Keith & Keith Corrections, on the other hand,
will micro-manage each facility’s operations for you. We have
cultivated reliable relationships with service-oriented companies
across the country and we know what facility services cost in different
geographic locations. Each and every invoice from every facility
will be reviewed for validity and completion prior to payment. We
recommend and will implement, if approved, use of a computerized
work order and preventive maintenance system. These systems track
and report on all service requests and preventive maintenance duties
from the moment the work order is issued to the time the request
is completed satisfactorily, as well as labor scheduling and equipment
inventory and maintenance logging. This information can be valuable
for warranty repairs and replacement. Furthermore, our management
will perform regularly scheduled inspections of each facility. The
inspection will be documented, service requests will be issued,
if necessary, and the inspection reports will be used as reference
in the budgeting process so needed maintenance is not deferred another
year.

- How can we be assured that the savings you propose will not
come at the expense of quality and property value?
A - First,
our reputation and track record are the primary reason that we refuse
to sacrifice quality. We take an owner’s approach to all of
the facilities we manage – protect the value of the real estate
asset in the most efficient manner possible. The references we provide
are a list of customers, which have been the base and opportunity
for our growth. Second and equally important, our senior staff will
be actively involved in facility management and will monitor cost
as well as provide property inspections. Third, the management staff
assigned to your facilities is reviewed annually for their ability
to meet your objectives on facility operation, facility appearance
and customer service within budget. These principles greatly increase
the chance of saving money without sacrificing quality.
Q - How
can Keith & Keith Corrections manage our correctional facilities
any better than we?
A - Managing
correctional facilities is generally not the core business of your
entity and is usually covered as a side job for one or a few individuals.
Your primary focus has been on the key functions of what makes you
successful - protection of citizens and their property. After you
have worried about all of the core functions of your office, you
may think about your correctional facility. This often results in
reactive management, not a proactive effort to minimize costs and
maximize the life and value of your real estate assets.

Q - How will I maintain control
of my facilities if I hire Keith & Keith Corrections to manage
my facilities?
A - Hiring
Keith & Keith Corrections gives you more control rather than
less control. We become your partner and act as a department of
your organization. We use your input in hiring, budgeting, reporting
and planning. You set the standards and our adherence to those standards
is critical to our success. You have input in how we do our job
without having to actually do it yourself. You control the process
of managing your facilities while focusing your time on your core
competency and not facility management.
Q - We
care about the people that work for us and are sensitive to their
future. What will happen to the employees that may be displaced
when we hire Keith & Keith corrections?
A - We
understand the sensitive nature of displaced employees. Typically,
when an existing service is outsourced to Keith & Keith Corrections,
we will interview each of the employees who are being displaced
and try to find them a position with our company. We value the facility
history and knowledge often possessed by these people. Most displaced
employees will find employment with us; however, some may decide
to pursue other opportunities.
Q - If I hire you to manage my facilities,
what input do I have towards the employees you hire for my facilities?
A - This
is a partnership and you need to be comfortable with the people
we hire. Ultimately, the amount of input you have in the hiring
process is entirely up to you. If you wish to be involved in the
selection process, we will make recommended candidates available
for your approval prior to placement at your facilities. You might
also desire to have the final authority before any hiring is done.
